2. When do we collect personal data?

We will tell you where the data came from no later than at our first contact with you.
3. When SuperOffice is a data processor
When our customers store personal data in SuperOffice CRM, the Lyyti event platform or other SuperOffice Group products, the customer is the data controller and the SuperOffice Group company is the data processor. We process that data only on the customer’s instructions and under our Data Processing Agreement with the customer. This Privacy Statement does not cover that data. If your data is stored in a customer’s SuperOffice solution, please contact that customer to exercise your rights.
4. Why do we collect and use personal data?
We collect and use personal data mainly for sales, marketing, events and customer service. We also process data about suppliers, partners and job applicants. Personal data about our employees is described in a separate employee privacy notice.

5. Our legal basis for processing personal data
Consent
We collect consent through consent forms, and we store documentation of every consent given. We may send digital marketing, such as email, to people who have consented.
Consent across the SuperOffice Group
Each consent form states which SuperOffice Group companies your consent applies to. Unless the form states otherwise, consent given to one SuperOffice Group company applies to all group companies listed in chapter 1, so you can receive relevant information from across the group. If you withdraw your consent, the withdrawal applies to all group companies. Group consent does not cover personal data we process as a data processor for our customers (see chapter 3).
Contracts
We use personal information for fulfilling our obligations related to contracts and agreements with customers, partners and suppliers.
Legitimate interest
We process some personal data based on our legitimate interests, mainly for B2B sales, customer relationship management, service improvement, security and fraud prevention, and administration within the SuperOffice Group. Before we rely on legitimate interest, we carry out a documented assessment with three steps: (1) we identify a legitimate purpose, (2) we check that the processing is necessary for that purpose, and (3) we balance our interest against your interests, rights and reasonable expectations. We only proceed if your interests do not override ours.
You can always object to processing based on legitimate interest (see chapter 9), and you can ask for information about the assessment by contacting privacy@superoffice.com.
Legal obligation
We process personal data when we need to comply with legal obligations, for example bookkeeping and tax rules (such as the Norwegian Bookkeeping Act), anti-money-laundering and sanctions rules where applicable, and requests from public authorities.
6. What type of personal data is collected?
We collect name, phone number, title and email address, in addition to your company’s name and contact information. If you are a representative for your company, we process your personal contact information with regard to the company. When entering into a contract with us, the signature may be made electronically comprising the processing of your personal data. We may also collect feedback, comments and questions received from you in service-related communication and activities, such as meetings, phone calls, documents, and emails. From our websites we may collect IP-address and actions taken on the site. If you register for an event, we also collect the registration details you provide, such as dietary preferences or attendance information.
If you upload photos or videos, add posts or comments, etc. on our Community website, the information can be read by anyone with access to the Community site and used for purposes over which SuperOffice or you have no control. Therefore, SuperOffice is not responsible for any information you submit to the Community website.
If you apply for a job with a SuperOffice Group company, we collect the data you provide during the application process.
We do not intentionally collect special categories of personal data (such as data about health, religion or political opinions). Please do not include such data in forms, applications or support requests. We do not collect national identity numbers unless required by law.
7. How long do we keep your personal data?
We keep personal data only as long as needed for the purpose it was collected for, or as required by law. Our standard retention periods are:
| Type of data | Retention period |
| Customer and contract data | The duration of the contract plus [3] years |

Data may be kept longer if needed to handle a legal claim or complaint. When the personal data that we have collected is no longer required, we will delete it in a secure manner. We may process data for statistical purposes, but in such cases, data will be anonymized.
8. How do we keep your personal data secure?
We protect personal data with technical and organisational security measures, including access control, encryption, logging and monitoring, and regular security testing. SuperOffice’s information security management system is certified to ISO 27001, and our services are audited under SOC 2 Type II. Only employees who need access to personal data for their work have it, and they are bound by confidentiality. Read more in our Trust Center.
9. Your rights to your personal data
You have the following rights with respect to your personal data held by the SuperOffice Group:
- The right to request a copy of your personal data that SuperOffice holds about you.
- The right to request that SuperOffice corrects your personal data if inaccurate or out of date. If you are a customer or partner and you have registered a profile on our Community website, you may update your user profile by logging into Community and selecting “Edit Profile”. If you are a customer and using SuperOffice CRM Online, you may update your user profile in SuperOffice by logging into SuperOffice and choosing the option “Show my contact info” to edit your details.
- The right to request that your personal data is deleted when it is no longer necessary for SuperOffice to retain such data.
- The right to withdraw any consent to personal data processing at any time. For example, to withdraw your consent to e-marketing, use the link to manage your subscriptions included in our communication. Withdrawing your consent from one SuperOffice Group company withdraws it from all group companies covered by that consent. Please note that you may still receive system messages and administrative communications from SuperOffice, such as order confirmations, system messages and notifications about your account activities.
- The right to request that SuperOffice provides you with your personal data and, if possible, to pass on this information directly (in a portable format) to another data controller when the processing is based on consent or contract.
- The right to request a restriction on further data processing, in case there is a dispute in relation to the accuracy or processing of your personal data.
- The right to object to the processing of personal data, in case data processing has been based on legitimate interest and/or direct marketing.
Send any request about your privacy rights to privacy@superoffice.com. We will respond without undue delay and no later than one month after we receive your request. If your request is complex, or we receive many requests, we may extend this by up to two further months, and we will tell you within the first month why we need more time. We may ask you to confirm your identity before we act on your request. Exercising your rights is free of charge.
10. The use of cookies
We use cookies and similar technologies on our websites and in our products. Strictly necessary cookies are needed for the websites and products to work and are always on. We only use other cookies, such as analytics and marketing cookies, if you consent to them in our cookie banner.
Website navigational information includes standard information from your web browser, such as browser type and browser language; your Internet Protocol (“IP”) address; and the actions you take on the company’s websites, such as the web pages viewed and the links clicked. This information is used to make websites work more efficiently, as well as to provide business and marketing information to the owners of the site, and to understand how visitors use a website. Cookies and similar technologies help us tailor our website to your personal needs, as well as to detect and prevent security threats and abuse.
You can withdraw or change your cookie consent at any time through the Cookie settings link at the bottom of every page on our websites. This works the same way as when you gave your consent. You can also block or delete cookies in your web browser settings. Please note that if you block or delete cookies while using the SuperOffice application, some functionality may be reduced or may not work as intended.
Tracking: To offer a better customer experience to the people visiting our website, SuperOffice uses a number of marketing tools. They allow us to analyze aggregated data, such as visitors’ scrolling patterns or clicks, in order to determine which pages result in the best actions. However, SuperOffice does not use your personally identifiable information by employing any of these marketing tools. We use Google Analytics as the third-party service provider: Privacy Policy.
Remarketing: SuperOffice uses remarketing tracking cookies and conversion pixels from Google, LinkedIn and Meta (Facebook and Instagram), in order to present you with special offers for our products or services over the Google Content Network and via social networks. This may result in you seeing an ad for one of our products or services after you have visited our website. Moreover, SuperOffice also creates custom audiences based on emails of subscribers and customers, in order to present special offers for our products and services via social media and the Google Content Network. However, SuperOffice does not use your personally identifiable information by employing any of the remarketing services, other than to present you special offers from us. When using remarketing, some personal data to identify the user, such as name, email and/or phone number, may be transferred to the provider of the advertising or a social media network (such as Meta). SuperOffice uses retargeting to both exclude individual persons from retargeting (such as existing users of SuperOffice) and to include individual persons (such as potential new users of SuperOffice).
We use the following third-party service providers for remarketing (see more below under “Use of sub-contractors”):
- Meta: Opt-out of Meta remarketing here
- Google: Opt-out of Google remarketing here
- LinkedIn: Opt-out of LinkedIn remarketing here
In some instances we anonymize data between SuperOffice and the aforementioned services with hashing to safeguard your security. You can find more information on how to manage cookies in your browser here: https://gdpr.eu/cookies/
11. Do we share your data with anyone?
We do not sell, rent or trade your personal data. We only share it as described below.
Within the SuperOffice Group
The SuperOffice Group companies share personal data with each other as joint controllers for the purposes in this Privacy Statement, such as shared CRM and customer administration, customer support, invoicing, events and marketing based on your consent. This sharing is governed by our intra-group joint controller agreement.
Third-party service providers working on our behalf
We may pass your information on to our distributors, agents, sub-contractors and other associated organizations with the purpose of them providing services to you on our behalf.
Third-party product providers we work in association with
We work closely with various third-party product providers to bring you a range of products and services designed to meet your extended needs related to CRM (e.g. apps available in our App Store). When you enquire about or purchase one or more of these products, the relevant third-party product provider will use your details to provide you with information and carry out their obligations arising from any contracts you have entered into with them. In some cases, our third-party product providers will be acting as data processors of your information and, therefore, we advise you to read their Privacy Policy and sign a Data Processing Agreement. These third-party product providers will share your information with us, which we will use in accordance with this Privacy Statement.
If required by law
We will disclose your personal information if required by law or if we, as a company, reasonably believe that disclosure is necessary to protect our company’s rights and/or to comply with a judicial proceeding, court order or legal process. However, we will do what we can to ensure that your privacy rights continue to be protected.
Business transfers
If a SuperOffice Group company is involved in a merger, acquisition, reorganisation, or the sale of all or part of its business or assets, personal data may be shared with the parties involved and their advisers, under confidentiality obligations, and transferred to the new owner. The new owner will continue to process the data in line with this Privacy Statement, or will inform you of any changes.
Use of sub-contractors (processors and sub-processors)
We may use sub-contractors to process personal data on our behalf. We are responsible for making sure they commit themselves to adhere to this Privacy Statement and applicable data protection legislation by signing a Data Processing Agreement.
If a sub-contractor processes personal data outside the EU/EEA, the transfer is based on an adequacy decision by the European Commission (for example for Switzerland, the United Kingdom, or US companies certified under the EU-US Data Privacy Framework), the EU Standard Contractual Clauses with supplementary measures where needed, or another lawful transfer mechanism under GDPR Chapter V.
If a new sub-contractor is signed or a change of sub-contractor is performed related to our CRM Online service, the customers will be notified in line with our Terms of Service. A directory of approved sub-processors is part of our Data Processing Agreement available in the Trust Center.
12. Changes to this Privacy Statement
SuperOffice reserves the right to amend this Privacy Statement at any time. The applicable version will always be found on our websites. We encourage you to check this Privacy Statement occasionally to ensure that you are happy with any changes.
If we make changes that significantly alter our privacy practices, we will notify you by email or post a notice on our websites prior to the change taking effect.
